Custom CRMs
Custom CRM for small businesses across West Yorkshire.
A CRM (customer relationship management system) is one place for your customers, quotes and jobs. Mine is built around how you already work, so you don't bend your business to fit a template.
What it does
-
Every enquiry in one place
Leads sit by stage with their value, and anything overdue is flagged so nothing slips.
-
Quotes that add themselves up
Build a quote from lines, mark extras as optional, take off a discount and the VAT is worked out for you. One click and it's a branded PDF.
-
See where your customers are
Customers and open leads on a map, so you can plan a day's visits without a spreadsheet.
-
On paper, and on a phone
The quote goes out in your branding, and the same lead is there on your phone when you're out on a job.
An example system on invented data, for a made-up joinery firm. The software underneath is what I build for real clients, then shape around how they work.
What a custom CRM costs
Everything has a fixed price agreed before anything is built, and the first conversation is free. There are no per-user fees, however many people use it.
Larger or more complex systems, and process and automation work, are quoted on request.
- The build
- £1,500 to £2,500
- No per-user fees, however many people use it.
- Looking after it
- £50 to £99 a month
- Hosting, updates, nightly off-site backups and monitoring. Month to month, with no lock-in. The £99 plan includes two hours a month for small changes.
Joined up with the rest of your business
I connect the CRM to the software you already pay for, such as Xero, Microsoft 365 or Google, so the information only goes in once. Before building anything I map how your work flows, and that map is what the spec comes from.

Questions people ask about custom CRMs
- How much does a custom CRM cost?
Between £1,500 and £2,500 for a typical small-business system, fixed before work starts, with no per-user fees. Bigger systems are quoted. Half is paid to start and half when it goes live. After that it runs on the same £50 or £99 a month plan as a website. The five-year sums against per-user tools are in a CRM without per-user pricing.
- Do I need a CRM, or is my spreadsheet fine?
A spreadsheet is fine until two people need it at once, a formula gets broken by accident, or the file becomes something only one person understands. If none of that is happening yet, keep the spreadsheet. The signs it is time to move are in spreadsheet or CRM for lead tracking.
- How long does a CRM take to build?
Two to four weeks. Before the clock starts we have a mapping session, I write up what the system will do, we both sign it off, and the first half is paid. Then we both know exactly what is being built.
- Can it connect to Xero, my calendar or my email?
If it has an API I can usually connect to it. That covers Xero, QuickBooks, Google and Microsoft calendars and mailboxes, and many online booking tools. Each connection is quoted case by case, because the work varies.
- What if I want a change after it is live?
Small tweaks come out of the two hours a month in the £99 plan. On the £50 plan, or for anything bigger, I quote a fixed price, like the original build. Your data is yours. You can have a copy of the database whenever you ask, not just when you leave.
